Important: Unlike previous years, applications received after the August 30 deadline will not be accepted for the Tokyo fair. Exhibition space of the hall is also limited. We strongly recommend early registration. There will also be a fair in Nagoya, Japan on the previous day (10/21). Time-wise, a day trip from Tokyo to exhibit in the Nagoya fair is feasible.

Who Attends the Fair?
 

About 1,000 visitors attended the Tokyo Fair in 2005. Most were self-sponsored potential undergraduate freshmen, transfers, and graduate students. Tokyo is the center of the world's second largest economy.


Shipping Information
 


OCS will again be working with IIE this year as an official shipper of exhibitor materials.

Participating institutions who choose to ship with OCS will not need to make any international shipments. Instead, all boxes can be forwarded to our OCS trade fair hub in Boston.

From there, OCS will take care of the rest:

• Confirm box counts, notify customers
• Re-pack / re-tape boxes if necessary
• Label boxes with university name, destination, representative name
• Prepare export & customs documents & licensing where required
• Palletize boxes (boxes will be shipped on wrapped skids for greater protection and accountability)
• Transport - by air express - all material to proper destination
• Clear foreign customs for you; OCS takes responsibility as Importer of Record
• Defer customs duties/taxes (OCS pays those fees up front on your behalf)
• Store your materials in our overseas OCS stations prior to fair date
• Deliver to exhibition site on schedule

All you have to do is show up at the fair.

Note: for participants NOT using OCS

If you decide to use another carrier to ship directly overseas, your ship-to address will still be OCS in each destination country. IIE has appointed OCS in each Fair city to receive freight.

After you register for the fair, OCS will send you instructions on where to send boxes in each city, and what the receiving fees will be.

Please do NOT ship any materials to the offices of IIE or the fair organizers .

It will be the responsibility of your carrier to get your materials overseas to OCS. They will need to clear customs, settle duty / tax, and deliver to the OCS station in each destination country. Neither OCS nor IIE will be able to assist if your packages are delayed in customs or undeliverable due to improper labeling.

Visa Information
 

United States citizens do not need to obtain visas for a temporary stay up to 90 days in Japan. Visitors may need to explain to the Immigration Official that they are visiting Japan to participate in a free educational exhibition and not here to earn any income or engage in any paid for services. A permit of stay will be granted.

Travel from Narita International Airport
There is frequent train and bus service from Narita International Airport to central Tokyo, and some hotels have direct shuttle service. If you plan to go to the venue directly from Narita Airport, please take a bus to Sunshine Prince Hotel. The World Import Mart building is in the Sunshine complex. Travel from Nagoya to Tokyo
Those schools that will exhibit in Tokyo after Nagoya may find it most convenient to take the Shinkansen (Bullet Train) from Nagoya to Tokyo Station. The trip takes about 90 minutes and costs is approximately $100. Train Schedule:

Tokyo participants are advised to travel to Tokyo on Saturday 10/21 upon closing of the Nagoya fair. There are a few hotels near Tokyo Station. If participants choose to travel on Sunday morning, please try to get on the bullet train by around 8:00 AM. Marunouchi subway line (red line) will take you from Tokyo Station to Ikebukuro, but it may take extra time to get to the venue from the Ikbukuro Station if you have heavy luggage. If you take taxi from Tokyo Station either to Ikebukuro (venue) or Shinjuku (hotel), the taxi fare will likely be $30-$40 plus about $6 toll if the taxi uses expressway.


Hotel
 

There are not many hotels in the Ikebukuro area. The closest one to the venue (actually located adjacent to the World Import Mart Building) is Ikebukuro Sunshine Prince Hotel. There are a number of nicer hotels in the Shinjuku area. Shinjuku station is the 4th stop on JR Line from Ikebukuro Station. The rates shown below are just for reference (for minimum rooms for single occupancy for an example). Room rates change depending on the season and the day of the week. 10% Service charge and 5% consumption tax will be added to the rates below unless otherwise stated. In addition, 100 or 200 yen hotel tax (approx. $1-2) depending on the cost of the room may be added.
