2008 U.S. Higher Education Fairs in Asia

October 4-23, 2008

Asian countries send the largest number of foreign students to American colleges and universities. To help your school establish and maintain a presence in this region, the Institute of International Education organizes regular education fairs that provide information to countless Asian student about the wide U.S. education opportunities available, including boarding schools, associate degrees/transfer programs, English language courses, bachelor's degrees, master's and doctoral degrees.

Fair Objectives
IIE has organized Higher Education Fairs in Asia since 1982, and our established track record and expertise offer you an cost-effective and convenient way to maximize your school's exposure in Asia. Schools are welcome to join all fairs or select the fairs that best fit their travel schedule and/or recruitment strategy. Between fairs, schools are free to work with alumni or local institutions.

U.S. Higher Education Fairs are designed to benefit both Asian students and U.S. university and college representatives by:

- Giving students, parents, and sponsors a chance at no cost to learn about opportunities for higher education in the United States from official, reliable, and legitimate sources of information;
- Informing students and parents about the availability of continuing free educational advising services at U.S. Department of State-sponsored educational advising offices;
- Giving students, parents, and sponsors an opportunity to meet face-to-face with official representatives of regionally accredited U.S. colleges and universities;
- Providing U.S. university and college representatives with a well-managed event at reasonable cost at which they can meet serious prospective students interested in American higher education; and
- Providing U.S. university and college representatives with a comprehensive in-country orientation to inform them about current factors influencing the flow of students to the United States.

Participation Guidelines


The fair organizers (“We”), reserve the right in our sole discretion to enforce the fair guidelines set out on the fair website in order to maintain the integrity and safety of our fairs. We reserve the discretion to refuse entry to the fair venue to any third-party recruiters or agents. Should we be alerted to any violation of our institution representation guidelines by the presence of such recruiters or agents during the course of the fair(s), we reserve the right to require that the recruiter/agent leave the venue immediately. No refund or reimbursement will be made to institutions for any inconvenience caused due to any violation of the fair guidelines. In of a dispute, the decision of the fair organizers is final.

1.  Only regionally accredited two-year, four-year, and graduate U.S. institutions may be represented at the IIE Fairs. English language and distance learning programs may only participate if representatives are prepared to provide information and answer questions about degree programs on the campus of the regionally accredited universities and colleges of which they are a part.

2.  Institutions may be represented by personnel (faculty, staff, or alumni) sent from the United States, by a faculty member temporarily residing in Asia on a research or teaching assignment, or by bona-fide local alumni with authorization from the university. Official U.S.-based representatives are best equipped to speak about the whole institution and current admissions policies, and carry legitimacy in speaking with students, parents, and sponsors. Alumni, on the other hand, have the advantage of speaking the local language, which facilitates communication. Alumni are also some of the best "salespeople" because they convey an enthusiasm and affection for their U.S. experience that U.S. representatives may lack. Using alumni to represent your institution also saves on travel expenses. IIE believes the best strategy is to have both U.S.-based and alumni representatives at your table, if possible. No more than two representatives may man a table at any one time during the Fairs.

3.  As IIE promotes direct school-to-student communication, no third party recruiters may participate.

4. All representatives at IIE Fairs must agree to abide by the ethics and standards set out by NAFSA (including the Code of Ethics and the Principles of Good Practice for the Recruitment and Admissions of International Students) and NACAC (i.e. the Statement of Principles of Good Practice).

*Education Forum
This event will be held the morning of the fair. The forum provides a space for US and Vietnamese educational representatives to discuss the possibility of creating joint degree and international cooperation/exchange programs. The event will include short speeches by US Consulate officials, as well as the IIE Vietnam Director. IIE will distribute a booklet in advance of the event that includes profiles of each school and contact information, so that the representatives can easily follow up with each other.

Fair Registration and Payment

How to Register Online

The online registration form asks for information about your intended fair participation as well as information about your institution for publication in Study America, the fair guide, which is distributed to students attending each fair. For your convenience, we recommend you view the entire form before starting to complete it so you know what information is required. You will not be able to submit the form without all the required information.

Priority Registration Deadline: July 31, 2008* (China Time GMT+8)

*Only institutions that register and return the Institutional Profile by the priority deadline will have their profile included in the fair guide.

Method of Payment

Country Briefing
The fair organizers will arrange a Country Orientation briefing to provide university and college representatives with a comprehensive briefing on revelant topics such as:
  • the current political and economic situation in the country
  • an update on developments in the local education system
  • trends on the flow of students to the United States
  • information on sponsored scholarship programs
  • news about other host countries' efforts to attract students.
 
Fair Publicity
The channels of promoting the fairs to the public vary from city to city. Before the fair, IIE and its partners will publicize the event through various media, including but not limited to:
  • Advertisements in local media
  • Press releases to newspapers and education websites
  • Posters and flyers to key officials, government offices, local and international high schools, local universities, and language schools
  • Outreach events, EducationUSA advising centers, IIE's and/or organizer websites and online discussion forum
 
Shipment of Materials


OCS will be working with IIE again in 2008 as an official shipper of exhibitor materials.
Participating institutions shipping with OCS will not need to make any international shipments.
Instead, all boxes can be forwarded to our OCS trade fair hub in Boston.

From here, OCS will take care of the rest, including address labeling and export documentation.
OCS will pay all duties and taxes on your behalf overseas. You will have no customs clearance worries.
OCS performs all of these services seamlessly and automatically for all exhibitors shipping with OCS.
We will store all exhibitors’ materials in our overseas stations and deliver them on instruction from IIE, direct to the fair venue.

Note: for participants NOT using OCS.

If you decide to use another carrier to ship directly overseas, your ship-to address will be the OCS agency address in each destination country. IIE has requested that OCS in each Fair city receive this type of “direct” freight.

After you register for the fair and complete the proper OCS forms, we will send you instructions on where to send boxes in each city, and what the charges will be.

Please do NOT ship any materials to the offices of IIE or the fair organizers.

It will be the responsibility of your carrier to deliver your materials “door-to-door” overseas to OCS.
Please make sure your carrier is able to clear customs in the countries you ship to, and make sure they can take care of duty and taxes for you. Please do NOT ship your materials as “cargo” or “door-to-airport”, because these services generally do NOT include customs clearance. Neither OCS nor IIE will be able to assist if your packages are delayed in customs or undeliverable due to improper labeling.

Advertising in the Study America Fair Guide

The organizers of the fairs in the different cities, in cooperation with corporate sponsors, publish a guide called Study America, which is distributed free of charge to all those who attend. It provides a brief overview of the admissions process at American universities and colleges, as well as basic information about the institutions participating in the fair, including majors offered, fees and expenses, and application requirements.

Advertising in the Study America is open to all regionally accredited two-year, four-year, and graduate institutions in the United States, whether or not they are participating in the fair(s).

For schools that do attend, advertising in the take-home guide reinforces your presence at the fair and maintains your visibility throughout the year. Those who do not participate in the fairs can use advertising to inform fairgoers about educational opportunities available on your campus.

Study American Readership
All fairgoers receives a free copy of the Study America fair guide. Last year, more than 10,000 students and parents attended IIE's fairs in Asia, which attract both prospective undergraduate and graduate students. Students seek information about nearly every field of study, but the most popular subjects are business and management, engineering, computer sciences, and the basic sciences. Copies of Study America remaining after the fairs are distributed free of charge at IIE offices and other EducationUSA advising centers.
